Why a Sub Total? Someone has to install and configure the server, configure the applications and backup. Someone has to manage the project and someone on your staff has to oversee this all, taking them away from their primary responsibilities.

The example is pretty standard of what you can expect, but does not include:

1. As a fact of life, eventually you will be the victim of spam. So, you will eventually want spam filtering on your email.

2. You still need a network to run your server on and that includes expensive switches, router, the latest cabling and a firewall to protect it all.

3. You will probably need to invest roughly $900 every 3-4 years, for a workstation for every user, which will require a surge protector and battery backup to protect the data, anti-virus and anti-spyware to keep it running and probably Microsoft Office so it can be used for something other than solitare.

4. Eventually, you will also need a Disaster Recovery plan, a safe to keep your backup tapes and someone to call when things break or applications don't behave.


The total will likely be nearly double this cost, since most IT consultants charge between $100-$150/hour.

It gets worse, the average server lifespan is only 3-4 years. So even for the smallest business you basically will need to budget $20,000 every 3-4 years.

Worst of all, someone has to manage the server over it's lifetime. This adds even more cost to the server.

Assuming the installation was done properly, you can still expect to spend a minimum of 1-2 hours a week having someone perform administration and/or maintenance on the server.
